Terms of Service
Last updated September 30, 2026
These terms are the agreement between you and AedID, operated from Lisbon, Portugal ("AedID", "we", "us"), for the use of the service at aedid.com. You accept them when you agree to them in the product. If you are using AedID on behalf of an organization, you accept them for that organization and confirm you may do so.
1. What AedID is
AedID keeps a digital record of buildings: the documents you upload, the facts we help extract from them, the spaces, equipment, events, and maintenance the record describes. AedID is a record-keeping tool — it is not a surveyor, engineer, lawyer, or insurer, and its output is not professional advice.
AedID is in private beta. It is offered by invitation and free of charge, features may change or be withdrawn, and it may be unavailable from time to time.
2. Artificial intelligence
- Parts of AedID are AI systems: the AI Steward you can converse with, the reading of documents and photographs, and the maintenance it suggests. When you use the Steward you are talking to an AI, not a person. The Privacy Policy lists every use and the companies whose models we use.
- AI output can be wrong, incomplete or out of date. It is marked as read or suggested by a model, with its source where there is one, and it is yours to review, correct and reject. You remain responsible for what you accept and act on.
- A suggested maintenance schedule is a reminder, not an inspection. For gas, electrical, structural, fire-safety and other matters where a mistake can hurt someone, rely on a qualified professional and the manufacturer's own instructions.
- You may ask us for a person to review anything AI produced about your property: [email protected].
3. Your account
- You must be 18 or older.
- You must provide a working email address and keep your credentials to yourself.
- You are responsible for what happens under your account.
- Accounts may belong to an organization (for example, a property-care firm). That organization's administrators control its data and who may access it.
4. Your content
The documents, photographs, and data you upload remain yours. You grant us the license needed to store them, process them (including with the AI providers named in our Privacy Policy), display them back to you and to the people you have given access, and keep backups. We do not use your content to train AI models. We claim no other rights. You are responsible for having the right to upload what you upload. If you send us ideas for improving AedID, we may use them without owing you anything.
5. Acceptable use
- No unlawful content or use, and no uploading data about people without a lawful basis.
- No probing, scraping, reselling, or disrupting the service.
- No attempting to access another account's or organization's data.
- No using AedID or what its AI produces to make decisions about people: screening or selecting tenants, buyers or workers, scoring or profiling anyone, setting a price or terms for an individual, or deciding on credit, insurance or housing.
- No using AedID for anything the EU AI Act prohibits, and no uploading photographs in order to identify or analyze the people in them.
- No presenting AI output as the work of a person or a professional, and no removing the marks that show where a fact came from when you pass the record on.
6. Reporting content
AedID stores what its users upload and lets them share single documents by link. If you believe something stored or shared through AedID is illegal or infringes your rights, write to [email protected] with the link or a description of where it is, why you believe so, and your name and contact details. This address is also our point of contact for authorities and for users under the EU Digital Services Act; write in English or Portuguese.
A person reviews each report. We may withdraw a shared link, remove the content, or suspend the account, and we tell both the person who reported and, where we can, the person affected what we decided and why. Either may ask us to look again by replying.
For copyright, a notice should also identify the work, state in good faith that the use is not authorized, and state under penalty of perjury that you are the owner or act for them. We terminate the accounts of repeat infringers.
7. Support access
Our support staff can, for the purpose of assisting you, view your account as you see it or act within it. Every such access is logged, visible in an audit trail, and time-limited. We access accounts only to support you, investigate abuse, or comply with law.
8. Fees
AedID charges nothing today. Before any paid plan applies to you we will show you the price, how and when it renews, and how to cancel, and ask you to agree; nothing is charged without that. Canceling will be as easy as subscribing. If you are a consumer in the EU you will have fourteen days to withdraw from a paid plan. We will give reasonable notice before changing prices that affect you.
9. Termination and your data
You may stop using AedID and request deletion of your account and data at any time (see the Privacy Policy). We may suspend or terminate accounts that break these terms, with notice and our reasons where reasonable. On termination we delete or anonymize your data within the retention periods described in the Privacy Policy; you may request an export first.
10. Warranties and liability
The service is provided "as is". To the maximum extent permitted by law, we disclaim implied warranties, including that AI output is accurate or fit for a particular purpose, and are not liable for indirect or consequential damages, loss of profits, or loss of data beyond our reasonable control; our total liability is limited to the greater of the amounts you paid us in the twelve months before the claim and one hundred euros. Nothing in these terms limits liability that cannot lawfully be limited — including for death or personal injury caused by negligence, for fraud, or for gross negligence or willful misconduct — and nothing affects the statutory rights of consumers in their country or state of residence. Some places do not allow some of these limits, so they may not apply to you.
If you use AedID for a business or an organization, you will cover our losses from claims by others that arise from content you uploaded without the right to, or from your use of AedID in breach of section 5. This does not apply to consumers.
11. Changes
We may update these terms as the product evolves. For material changes we will tell you before they take effect and ask you to accept the new version in the product. If you do not accept, you may stop using AedID and ask for your data to be exported and deleted.
12. Law and disputes
These terms are governed by Portuguese law, and disputes belong to the courts of Lisbon, Portugal — except that consumers keep the protection of the mandatory rules and courts of their own country or state of residence. There is no arbitration clause and no waiver of class or collective actions. EU consumers may also use the alternative dispute resolution bodies available to them.
13. United States residents
California. Under California Civil Code §1789.3: the service is provided by AedID, operated from Lisbon, Portugal, reachable at [email protected]. No charges apply at present. To resolve a complaint about the service or to receive further information about its use, write to us at that address. You may also contact the Complaint Assistance Unit of the Division of Consumer Services of the California Department of Consumer Affairs in writing at 1625 North Market Blvd., Suite N 112, Sacramento, CA 95834, or by telephone at (800) 952-5210.
New York and other states. Nothing in these terms takes away a right that the consumer protection law of your state gives you and does not allow you to waive.
14. General
These terms, with the Privacy Policy and Cookie Policy, are the whole agreement between us about AedID. If a part of them cannot be enforced, the rest stands. You may not transfer your account to someone else without our agreement; we may transfer this agreement to a successor that takes over AedID, and will tell you first. Not enforcing a term once is not giving it up.
